Know the client

Guided intake captures the story behind the application, not just the data required to submit it.

02

Support the recommendation

Structured review connects client needs, product features, lender rationale and suitability in one workflow.

03

Strengthen oversight

Clear responsibilities and organized review evidence help brokerage leaders support consistent professional practice.

— Designed to complement, not replace

Keep the systems that move the mortgage.

Suitivia does not replace the systems used for origination, lender submission, document management, or client communication. It organizes the professional reasoning, client confirmations, accountability, and evidence that surround those systems.

No automatic approvals or declines.Suitivia supports analysis; it does not approve or decline a borrower or make an unreviewed underwriting decision.

No silent lender routing.Lender strategy and the recommendation remain with the licensed professional.

No compliance guarantee. The brokerage remains responsible for its obligations, policies, supervision, and judgment.

— One connected journey

From first conversation
to final file audit.

The design considers the whole client relationship, from the first intake through purchase, refinancing or renewal, with room to revisit the recommendation when important circumstances change.

Ontario foundation

A suitable recommendation
must be demonstrable.

Mortgage brokering is regulated provincially. Canadian regulators have established common principles for mortgage product suitability through the Mortgage Broker Regulators’ Council of Canada (MBRCC), while each jurisdiction applies its own laws, rules, and guidance.

Suitivia’s initial development focus is Ontario’s MBLAA framework and FSRA guidance. Federal requirements, provincial requirements, brokerage policies, lender requirements and industry best practices are distinct considerations. Future availability elsewhere will require a separate review of the applicable jurisdiction.

01

Know your client

Understand the client’s unique needs, circumstances, objectives and financial capacity.

02

Know your product

Understand and explain the features and risks of reasonably available mortgage products.

03

Assess the options

Connect the client’s circumstances to suitable product options and recommendations.

04

Explain the rationale

Clearly communicate why an option is being presented and obtain appropriate client acknowledgement.

05

Provide oversight

Use reasonable brokerage processes for accountability, supervision and review.

06

Document the assessment

Retain the recommendation, supporting rationale and evidence that required oversight occurred.

— From requirement to evidence

A clearer record of the advice.

Suitivia is designed to help licensed professionals and brokerages build a connected record of the work performed. It supports the process; it does not replace professional judgment or guarantee regulatory compliance.

1CaptureGuided client discovery records needs, circumstances, priorities and confirmations.
2DocumentStructured reasoning connects client facts, assessed options, product features, risks and the recommendation.
3ReviewProfessional review and clear responsibility support appropriate brokerage supervision.
4AuditAn organized record helps the brokerage understand the advice and review the completed file.

Provincial requirements differ and continue to evolve. Each brokerage remains responsible for confirming and applying the laws, regulations, guidance and record-retention requirements in every jurisdiction where it operates.

Built for the whole brokerage

Professional judgment,
supported at every level.

Suitivia is being designed for brokerages of different sizes and the agent teams within them, with support suited to the professional’s experience, authorized role and the needs of the client.

— The brokerage benefit

A stronger process without a one-size-fits-all experience.

Connect the work already taking place across the brokerage so leaders can support consistency, professionals can work with greater clarity and clients receive a recommendation with a clear story behind it.

01
Consistency that scales

Create a shared file standard without forcing every professional or every mortgage through the same level of review.

02
Less rework

Identify missing information, discrepancies and incomplete reasoning earlier—before they become last-minute problems.

03
Stronger supervision evidence

Keep the advice, supporting rationale and professional review organized for later file review.

04
Role-based collaboration

Give licensed underwriters and authorized administrators—whether licensed or unlicensed—role-appropriate access to support assigned work, while keeping licensed activities and professional responsibility clearly separated.

Benefits by role

The right support for the professional and the file.

Ease of use is a priority: clear next steps, relevant information and explanations when needed. The aim is to support experienced professionals efficiently while making guidance accessible to those who need it.

EXPERIENCED MORTGAGE PROFESSIONALS

Streamlined routine files and exception-focused review help experienced professionals work efficiently. Their judgment and client relationships stay intact, with specialist support available when a file becomes complex.

NEWER & LOWER-VOLUME PROFESSIONALS

Build confidence through the work.

Plain-language guidance and access to experienced support help professionals build sound habits, identify missing information and approach unfamiliar files with greater clarity.

UNDERWRITERS & ASSISTANTS

Contribute with clear boundaries.

Support assigned file preparation, analysis and documentation within the person’s authorized role. Licensed advice and professional responsibility remain clearly identified.

MORTGAGE AGENT LEVEL 2 & MORTGAGE BROKER

More clarity on complex files.

AGENT TEAMS & TEAM LEADS

Consistency within the team.

Support training, collaboration and complex-file review for teams operating within a brokerage. Team support complements the brokerage’s own supervision and compliance responsibilities.

PRINCIPAL BROKER & COMPLIANCE

See the work and its rationale.

Support supervision and file review with an organized account of the advice provided and the professional review completed, with attention focused where it is needed.

Transparent, risk-based oversight.

Team-level support and brokerage supervision serve different purposes. The design keeps professional responsibility clear while helping people collaborate within their authorized roles.

Its purpose is practical: help professionals and brokerage leaders connect the work they already perform into a clearer, more consistent and demonstrable process—without replacing professional judgment.

— Shape what comes next

  • Fictional or synthetic files during current testing
  • Feedback from agents, teams and brokerage leaders
  • Privacy, security and readiness review before live client use

Questions

What brokerages
usually want to know.

Does Suitivia replace our existing brokerage systems?

No. Suitivia is designed to work alongside the systems used for applications, lender submission, documents, and client communication. It connects the professional reasoning, confirmations, oversight, and evidence that surround those activities.

Does Suitivia select the lender or make the suitability decision?

No. Suitivia is assistive technology. The licensed mortgage professional remains responsible for verification, underwriting judgment, lender strategy, suitability, recommendations, disclosures and overall file direction.

Who is Suitivia being built for?

Mortgage brokerages of different sizes, agent teams within those brokerages, and the professionals who support their files. The design considers experienced, newer and lower-volume agents, Team Leads, underwriters, assistants, Principal Brokers and compliance teams.

Is Suitivia available across Canada?

Ontario is the initial focus. Availability in another province will depend on that jurisdiction’s requirements and a separate readiness review.

Can beta participants use live client files?

Not during the fictional testing phase. Live client information will be permitted only after privacy, security, legal, and production controls receive separate approval and the participant is expressly authorized.

Does Suitivia guarantee regulatory compliance?

No. It is designed to support a more consistent, demonstrable process. Each brokerage remains responsible for its own legal and regulatory obligations, supervision, policies, and professional judgment.

Will experienced brokers face more oversight on every file?

The aim is to make routine work efficient and provide additional support when needed. Each brokerage will determine its supervision requirements, taking account of the professional’s role and the needs of the file.

Are mortgage-platform or lender integrations live?

No live mortgage-platform or lender API integrations are being offered in the current demonstration. Future connections depend on provider authorization, technical review and the necessary agreements.

Is VIA available?

VIA is planned assistance within Suitivia and is disabled in the current demonstration. It is not currently answering questions, recommending products or monitoring live lender information. Licensed professionals remain responsible for advice and decisions.

What is being tested now?

Development and private demonstrations use fictional or synthetic files. Initial product testing is being prepared to assess ease of use, workflow fit, adoption, team roles and supervision before a broader pilot. General availability and live client use have not been approved.
